Data Retention Policy
Effective September 26, 2026
This policy explains how long HOA by Kai'Ros keeps data and how associations can export or remove it.
1. Active accounts
While an association's account is active, its records stay in the Service until the association deletes them. Florida law requires associations to keep many official records for set periods, often at least seven years, so boards should check before deleting anything.
2. Legal holds
Boards can place a legal hold on a unit, for example during collections or litigation. While a hold is active, the Service pauses violation notices for that unit and records who set the hold and why. Boards should not delete records related to a unit under hold.
3. Closed accounts
- When an association cancels, its data is kept for 90 days so it can reactivate or export.
- After 90 days, the data is deleted from the active database. Encrypted backups roll off within a further 30 days.
- Associations can ask us in writing to delete sooner or to keep data longer while they arrange an export.
4. Payment records
Payment and payout records are also kept by Stripe under its own retention rules, which may be longer because of financial regulations.
5. System logs
Security and error logs are kept for up to 12 months and then deleted.
6. Exporting your data
Reports and documents can be downloaded from the Service at any time. For a full export of an association's records, the board or manager can email support@genesishoa.app.
7. Individual requests
Residents who want their personal information removed can email us. Where the information is part of an association's official records, we will refer the request to the association, which decides what it must keep.
8. Changes
We will post any change to this policy here with a new effective date.
