Privacy Policy

This policy explains what personal information HOA by Kai'Ros collects, how we use it, and the choices you have. Kai'Ros International Technologies operates the Service. For resident records, your association decides what is collected and why; we process that information on the association's behalf.
1. Information we collect
- Account details: name, email, phone, role, and login activity.
- Community records entered by your association: units, owners and tenants, contact details, violations, work orders, architectural requests, meeting records, and documents.
- Payment information: payment status and history. Card and bank details are collected and stored by Stripe, not by us.
- Messages and feedback you send through the Service, including questions to the in-app AI guide.
- Technical data: IP address, browser and device type, and pages used, collected to secure and troubleshoot the Service.
2. How we use it
- To run the Service for your association: records, notices, payments, meetings, and resident portal.
- To send the emails and text messages you or your association trigger.
- To secure accounts, prevent fraud, and meet legal obligations.
- To support you and improve features. We do not sell personal information and do not use it for third-party advertising.
3. Service providers
We share information only with providers that help us run the Service, under agreements that limit their use of it:
- Supabase (database, authentication, file storage)
- Vercel (application hosting)
- Stripe (payments and payouts)
- Resend (email delivery) and Twilio (text messages)
- Anthropic and OpenAI (AI features such as drafting and transcription)
We may also disclose information when the law requires it or to protect the rights and safety of users.
4. Who can see community records
Board members and managers of an association can see that association's records. Residents see their own account, their own unit's balances and requests, and documents the association chooses to share with them. Florida law gives owners rights to inspect certain official records; those requests are handled by the association.
5. Security
Data is encrypted in transit and at rest with our providers. Access inside the Service is limited by role and by community, and documents are served through expiring links. No system is perfectly secure; tell us right away at support@genesishoa.app if you believe your account was compromised.
6. Retention
We keep records while an association's account is active and as described in our Data Retention Policy.
7. Your choices
- Update your name, phone, and notification settings in your account.
- Turn off optional email or text notifications at any time. Some notices your association is legally required to send may still be delivered.
- Ask us for a copy of your information or to correct or delete it by writing to support@genesishoa.app. For association records we will work with your association, which may be required to keep them.
8. Children
The Service is not directed to children under 13, and we do not knowingly collect their information.
9. Changes to this policy
We will post any update here with a new effective date and notify account owners of material changes.
